1. Who we are
This Privacy Policy explains how The Gantry App Limited ("The Gantry", "we", "us", "our") collects and uses personal data. We are the data controller for the personal data described in this policy, except where stated otherwise in section 6.

2. What this policy covers
This policy applies to our website, our mobile and web application, our waitlist, our marketing emails, and any promotions or prize draws we run. It applies whether you are a member using The Gantry to attend events, an event organiser listing an event with us, or a visitor to our website.
3. The information we collect
Information you give us
When you join the waitlist: your name, email address, and optionally your industry, business name and location.
When you create an account: your name, email address, job title, business or organisation name, industry, and your general location or how far you are willing to travel to an event.
Your profile: a short professional summary, what you are currently working on, and what you are looking for from an event. You choose what to put here. Please do not include information you would not want other attendees of an event to see, and do not include information about your health, beliefs, or other sensitive matters — we do not ask for it and do not want it.
Your activity in the app: the events (Rooms) you view, save or say you are attending; the people you shortlist; introductions ("nudges") you send, accept or decline, including the stated purpose and any message you write; and messages you send in event threads.
When you attend an event: a record that you checked in, where the organiser uses our QR check-in.
When you contact us: the contents of your email, message or call, and your contact details.
When you enter a promotion or prize draw: your name, contact details, business name and location, and your social media handle where you entered through a social platform.
Information we collect automatically
Device and browser type, operating system, IP address, approximate location derived from your IP address, pages and screens viewed, and the dates and times of your visits. We collect this through cookies and similar technologies — see section 10.
Information we receive from others
From event organisers: if you book onto an event that uses The Gantry, the organiser may provide us with your name and email address so that we can invite you to the Room for that event. In this situation the organiser is the controller of that list and we act as their processor until you choose to create an account with us, at which point we also become a controller of the account you create.
From other members: if another member sends you an introduction or names you in one, we will hold that record.
4. How we use your information, and our lawful basis

Where we rely on legitimate interests, we have considered whether those interests are outweighed by your rights, and you can object at any time — see section 9.
5. What other people can see
This matters more on The Gantry than on most services, so we want to be plain about it.
Other attendees of an event you have said you are attending can see your name, job title, business, industry and the profile summary you have written. They cannot see your email address or phone number unless you give it to them.
People you send an introduction to can see the purpose you selected and any message you wrote.
Event organisers can see who has said they are attending their event and who has checked in. They cannot read the contents of your messages or threads, and they do not receive your email address from us unless you already gave it to them when you booked. Everything else we report to organisers is aggregate — for example, the number of introductions made — and never attributed to you individually.
We do not publish a public feed, a public list of your connections, or a follower count. Your activity on The Gantry is not visible outside the events you have joined.
6. Sharing your information
We do not sell your personal data, and we never will.
We share personal data with:
- Service providers who help us run The Gantry, including hosting and database providers, email delivery providers, payment processors, and analytics providers. They act on our instructions and are bound by contract to protect your data. A current list is available on request from hello@thegantry.app.
- Event organisers, as described in section 5.
- Other members, as described in section 5.
- Professional advisers such as accountants and lawyers, where necessary.
- Purchasers of our business, if we sell or transfer all or part of it, in which case your data will remain subject to protections at least equivalent to this policy.
- Authorities and third parties where we are legally required to disclose it, or where disclosure is necessary to protect the rights, safety or property of The Gantry, our members, or others.
7. Where your data is held
Your data is stored on servers in the United Kingdom or the European Economic Area. Some of our service providers may process data outside the UK. Where that happens, we make sure an appropriate safeguard is in place — usually the UK International Data Transfer Agreement or the UK Addendum to the European Commission's standard contractual clauses, or a country the UK government has decided provides adequate protection.
8. How long we keep it
- Waitlist entries: until you unsubscribe, or 24 months after our launch if you never create an account, whichever is sooner.
- Account data: for as long as your account is open. If you delete your account, we remove your profile and it stops being visible to anyone. We keep a minimal record for up to 6 years where we need it for legal, accounting or dispute purposes.
- Event threads and introductions: these close 7 days after the event and are deleted 12 months afterwards.
- Check-in records: 24 months, so that organisers can compare attendance year on year.
- Prize draw entries: 6 months after the draw closes, unless you also joined our waitlist.
- Support correspondence: 24 months.
9. Your rights
Under UK data protection law you have the right to:
- be informed about how we use your data — that is what this policy is for
- access the personal data we hold about you
- have inaccurate data corrected
- have your data erased in certain circumstances
- restrict how we process your data in certain circumstances
- portability — receive the data you gave us in a machine-readable format
- object to processing based on legitimate interests, and to stop direct marketing at any time
- withdraw consent at any time where we rely on it
To exercise any of these, email hello@thegantry.app. We will respond within one month. There is no charge.
You also have the right to complain to the Information Commissioner's Office at ico.org.uk, or on 0303 123 1113. We would appreciate the chance to address your concern first.
10. Cookies
We use cookies and similar technologies to keep you signed in, remember your preferences, keep the service secure, and understand how the site and app are used.
- Essential cookies are needed for the service to work, such as keeping you logged in. These do not require consent.
- Analytics cookies help us understand which pages and features are used. We only set these if you agree.
You can change your choice at any time through the cookie settings link in our website footer, and you can block or delete cookies through your browser settings. Blocking essential cookies will stop parts of the service working.
11. Marketing
If you join our waitlist or create an account, we may email you about The Gantry launching, new Rooms near you, and the service generally. Every marketing email has an unsubscribe link, and you can also email hello@thegantry.app to opt out. Unsubscribing from marketing does not stop service messages such as event reminders.
12. Age
The Gantry is for adults in professional life. You must be 18 or over to create an account, and we do not knowingly collect data from anyone under 18. If you believe a child has given us their data, please contact us and we will delete it.
13. Automated decisions
We do not make decisions about you by automated means that have a legal or similarly significant effect. We do rank and filter which Rooms and people we show you, based on your industry, location and travel distance, but this only affects what you see and you can always browse without it.
14. Security
We store data on secure servers, encrypt it in transit, restrict access to those who need it, and review our arrangements regularly. No transmission over the internet is completely secure, so we cannot guarantee absolute security, but if there is a breach that risks your rights we will notify you and the ICO as the law requires. Keep your password confidential and let us know immediately if you think your account has been accessed by someone else.
15. Other websites
Our site and app may link to other websites. We are not responsible for their privacy practices, and we encourage you to read their policies.
16. Changes to this policy
We review this policy regularly. If we make a significant change we will tell you by email or in the app before it takes effect. The date at the top shows when it was last updated.
